Questions and bug reports go to freetokyo2020@yahoo.co.jp. Please do not send student names, contact details or anything else that identifies a person. Which screen, what you did, what happened — plus your iOS version, device model and the app version (at the bottom of Settings) — is enough.

Starting out

1. Create a pass template

Under "Pass types", set up the passes you sell most — ten sessions, five sessions. Fill in the default session count, validity and price once and you will only have to pick it after that.

2. Add a student

Tap "+" on the Students screen and enter a name. Contact details and notes can come later.

3. Register a pass

From the student's screen, choose a pass type and set the purchase date. Add an expiry date and you will be warned before it lapses.

The balance is not what I expected

The balance is never stored; it is calculated as total − used + voided every time. If it looks wrong, open that pass's ledger. Every use, addition, void and expiry extension is listed with a timestamp, so you can see where it moved.

I used a session by mistake

Tap "Undo" in the toast within ten seconds and the record goes away with it — nothing is left in the ledger. Closing the app or switching away ends that window immediately.

After ten seconds, cancel from the detail screen instead. That adds a void entry to the ledger and leaves the original use in place. The balance comes back either way.

A pass has expired but the student wants to use it

The use button on an expired pass is disabled and offers to extend the expiry instead. Extending makes the pass usable again, and the extension is recorded in the ledger.

A pass is still valid on its expiry date itself.

Notifications are not arriving

Permission is requested the first time you give a pass an expiry date, never at launch.

If nothing arrives, check Settings › Notifications › Kartella Studio on iOS. Even with notifications turned off, passes running out are flagged with a badge in the list and the detail.

To keep names out of notifications, turn off "Show student name in notifications". They will read "1 pass is expiring soon" instead.

Changing what counts as "expiring soon"

The default is within 14 days of expiry, or two sessions or fewer. Settings offers 7, 14 or 30 days and 1, 2 or 3 sessions. The warning seven days before a pass lapses is sent once regardless of this setting.

Face ID is not working

If biometrics fail you can unlock with the device passcode. On a device with neither a passcode nor biometrics set up, the app cannot be locked — set a passcode in iOS Settings.

The delay before it relocks can be changed in Settings (30 seconds by default).

Telling a student their balance

Open "Balance summary" from the student's screen and export it as text or a PDF. It shows only that student and contains no amounts. It is not a receipt, and the summary says so on its last line.

Moving to a new phone

Write a backup from Settings and read it on the new device. Reading a backup replaces everything already there, cannot be undone, and is confirmed twice.

The file is not encrypted and contains student names and records, so choose where you keep it with that in mind.

The export you take immediately before deleting all data works without full access.

I purchased but the features are locked

Try "Restore purchases" on the paywall or in Settings. You need to be signed in with the same Apple Account you bought with. Restoring, success and failure — including "nothing to restore" — are all shown on screen.

Removing a student's details

Two options. Removing the name and contact details keeps the records in a form that no longer identifies the student, and they stay in your totals. Deleting everything removes their passes and ledger too. The second cannot be undone, so it shows how many records are affected and asks twice.
